We are currently seeking a Check-In and Subrentals Agent to join our dynamic New York rental team. This role is critical in ensuring the seamless return, processing, and tracking of rental and subrental gear while maintaining excellent communication with clients, vendors, and internal teams.

Key Responsibilities
- Manage administrative tasks including return reminder emails, outstanding gear follow-ups, and damaged item notifications in coordination with the Service department.
- Intake and scan returned rental gear, ensuring timely check-in and prep for same-day turnaround.
- Identify missing or damaged items, notify clients or management, and resolve discrepancies within one week.
- Generate and manage Missing & Damaged (M&D) invoices; keep Agents and the Rental Operations Manager informed.
- Support inventory and maintenance teams by flagging missing or damaged consignment or large items.
- Track all incoming and outgoing subrentals; process returns and restore kits to original state.
- Maintain detailed physical and digital records of subrentals, including contracts and purchase orders.
- Coordinate daily courier runs, communicating updates with couriers, Agents, and Prep Technicians.
- Assist in repacking subrented kits with AbelCine-owned gear and maintain organized storage systems.
- Manage shipping of outgoing non-NYC subrentals.
- Assist clients and colleagues with loading and unloading equipment as needed.
Qualifications
- Undergraduate degree or equivalent combination of education and work experience.
- Strong administrative and organizational skills with impeccable attention to detail.
- Ability to take initiative, prioritize, and make decisions in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to multi-task across phone, email, and internal systems.
- Friendly, energetic, and professional demeanor with a customer-service mindset.
- Physical ability to lift and control cases weighing up to 70 lbs.
- Prior industry experience and interest in film/production technology is highly desirable.
- Flexibility with hours is a plus.
- Familiarity with Mac OS and FileMaker Pro is a plus.
Physical Effort:- Prolonged sitting and standing work at a computer, requiring frequent use of monitors
- Manual dexterity and mobility are required
- Standing and walking for the duration of the work shift
- Regularly lift, move, and control equipment cases weighing up to 70 lbs.
- Frequent bending, reaching, and standing while processing and repacking gear.
- Assisting with loading and unloading heavy equipment in and out of vehicles and the facility.
Location: Brooklyn, NY
Status: Full-Time, On-Site, Non-Exempt
Compensation Range: $45,000 - $50,000
